Refund & Cancellation Policy

1. Overview
This Refund and Cancellation Policy outlines the terms for refunds, cancellations, and subscription management for BidBrain services. We strive to ensure your satisfaction while maintaining fair policies for our AI-powered service.
2. Subscription Plans
BidBrain offers three monthly subscription plans:
- Starter Plan: $100/month — 20 estimates per month, up to 25 pages and 50 MB per upload
- Pro Plan: $250/month — 100 estimates per month, up to 50 pages and 100 MB per upload
- Contractor Plan: $500/month — 200 estimates per month, up to 150 pages and 200 MB per upload
3. Quality Guarantee
If you are dissatisfied with the quality of an estimate due to:
- Technical errors in processing
- Incomplete analysis of your documents
- System failures during generation
Please contact bidbrainapp@gmail.com within 48 hours. We will review your case and may offer:
- A complimentary re-generation of your estimate
- Technical support to improve results
- A partial refund or credit at our discretion
Note: Each estimate generation incurs immediate AI processing costs (Google Gemini API). Once an estimate has been generated, those computational resources have been consumed.
4. Subscription Cancellation & Refunds
4.1 Monthly Billing
Subscription plans are billed monthly on the date you subscribe. Your subscription automatically renews each month unless you cancel.
4.2 Cancellation Process
You can cancel your subscription at any time by:
- Going to your Account Settings and clicking “Cancel Subscription”
- Accessing the Stripe Customer Portal from your dashboard
- Contacting support at bidbrainapp@gmail.com
4.3 Access After Cancellation
When you cancel:
- Your subscription remains active until the end of the current billing period
- You can continue using remaining credits until the period ends
- No further charges will be made
- Your account reverts to a free tier with 0 credits
- Your historical bids remain accessible (view only)
4.4 Subscription Refunds
Monthly subscription fees are generally non-refundable. However, refunds may be issued in exceptional circumstances:
Eligible for Full Refund:
- You were charged in error or duplicate charged
- You cancelled before the renewal date but were charged anyway
- Service was unavailable for more than 48 consecutive hours
- We made a billing mistake
Eligible for Partial Refund (at our discretion):
- Significant technical issues preventing service use for extended periods
- Major feature changes that substantially reduce service value
- Cancellation within 48 hours of renewal with minimal usage
Not Eligible for Refund:
- You changed your mind after using credits
- You didn’t use your credits (unused credits have no cash value)
- You didn’t cancel before the renewal date
- Dissatisfaction with AI-generated results (these are estimates by nature)
5. Estimate Credit Policy
5.1 Monthly Estimate Allocation
- Starter Plan: 20 estimates refresh monthly; unused estimates do not roll over
- Pro Plan: 100 estimates refresh monthly; unused estimates do not roll over
- Contractor Plan: 200 estimates refresh monthly; unused estimates do not roll over
5.2 No Cash Value
Estimate credits have no cash value and cannot be:
- Refunded for money
- Transferred to another user
- Sold or exchanged
- Carried over between billing periods
6. How to Request a Refund
To request a refund:
- Email bidbrainapp@gmail.com with subject line “Refund Request”
- Include your account email and order/transaction ID
- Explain the reason for your refund request
- Provide any relevant screenshots or documentation
We will review your request within 3–5 business days and respond via email. If approved, refunds are processed within 5–10 business days to your original payment method.
7. Downgrading Plans
You can downgrade your plan at any time:
- Contractor → Pro or Starter: Change takes effect at next billing cycle; no prorated refund
- Pro → Starter: Change takes effect at next billing cycle; no prorated refund
- Any plan → Cancel: Cancellation takes effect at end of current billing period
We do not offer prorated refunds for downgrades. You will continue to have access to your current plan until the end of the billing period.
8. Upgrading Plans
You can upgrade your plan at any time:
- Starter → Pro or Contractor: You are charged the difference prorated for the remainder of the billing period
- Pro → Contractor: You are charged the difference prorated for the remainder of the billing period
9. Payment Failures
If your payment method fails:
- We will attempt to charge your payment method up to 3 times over 7 days
- You will receive email notifications for each failed attempt
- Your account may be temporarily locked if payment cannot be processed
- After 7 days, your subscription will be cancelled
- You can update your payment method in the Stripe Customer Portal
10. Account Termination by BidBrain
We reserve the right to terminate accounts for:
- Violation of Terms of Service
- Fraudulent activity or chargebacks
- Abuse of the service or system
In such cases:
- No refunds will be issued
- Access to your account will be immediately revoked
- Remaining credits will be forfeited
11. Price Changes
We may change our pricing at any time. Price changes:
- Do not affect existing subscribers until their next renewal
- Will be communicated at least 30 days in advance
- You can cancel before the price change takes effect
12. Disputes and Chargebacks
Please contact us before initiating a chargeback with your bank. Chargebacks result in:
- Immediate account suspension
- Potential permanent ban from the service
- Loss of access to all data and estimates
We are committed to resolving billing issues fairly and quickly. Most disputes can be resolved through direct communication.
13. Exceptions
BidBrain may, at its sole discretion, make exceptions to this policy on a case-by-case basis. Such exceptions do not set precedent for future requests.
